How you'll contribute
.. be responsible for Greenlyte’s purchasing processes.
  • Manage and oversee the complete operational purchasing process, from purchase orders to goods receipt
  • Coordinate with suppliers from quotation requests to delivery organization
  • Verify quantities and specifications to ensure alignment with internal requirements and supplier capabilities
  • Track order statuses within the internal system, ensuring transparency and accuracy in the procurement process
  • Ensure the timely and accurate delivery of materials to meet production schedules
  • Identify opportunities to streamline purchasing processes and reduce costs
.. act as the main point of contact between internal departments and suppliers regarding operational purchasing matters
  • Build and maintain strong relationships with suppliers to ensure long-term partnerships and reliability
  • Provide regular updates and reports to supply chain management on procurement activities
  • Support supply chain management in price negotiations and contract discussions

Here's what the first 12 months in the role could look like:

Months 0-3:
  • Onboarding: Familiarize yourself with Greenlyte’s product, our way of working and internal systems.
  • Process Understanding: Gain a deep understanding of our procurement process, goods incoming, inventory management. Start to monitor and track orders in the internal system.
  • Initial Contribution: Start actively participating in the operational purchasing process, including order initiation, quantity verification, and communication with suppliers.
  • Ownership of operations: Achieve your first successful orders with timely deliveries, including incoming goods inspection ensuring materials meet the required specifications and quantities.
  • Supplier Relationship Building: Get introduced to key suppliers, begin establishing relationships and understanding their capabilities.

Months 3-6:
  • Increased Responsibility: Take on more responsibility within the operational purchasing process, managing a larger portion of orders and supplier interactions independently.
  • Strengthening Supplier Relationships: Deepen your relationships with key suppliers, working towards establishing long-term partnerships and ensuring reliable delivery schedules.
  • Consistency in Deliverables: Demonstrate consistency in ensuring timely and accurate deliveries, with a focus on minimizing delays and prevention of discrepancies in quantities.
  • Process Optimization: Begin identifying opportunities to streamline and improve procurement processes. Implement small-scale improvements that enhance efficiency and reduce lead times.

Months 6-12:
  • Autonomous Management: Fully manage the end-to-end operational purchasing process with minimal supervision, demonstrating confidence and competence in all purchasing activities.
  • Process Improvement Implementation: Lead the implementation of more significant process improvements identified in earlier months, aiming to enhance overall procurement efficiency and reduce costs.
  • Supplier Performance Management: Regularly assess supplier performance together with supply chain management, ensuring that all partners meet the company’s standards for quality, delivery, and cost. Begin developing strategies for supplier performance improvement where necessary.
  • Deliverables Achievement: Consistently achieve key deliverables such as maintaining optimal inventory levels, ensuring timely deliveries, and meeting cost targets.
  • Preparation for the Future: Start planning for the next phase of your role, identifying areas for further development and potential new responsibilities as you grow within the company.
  • Progress Reporting: Provide regular progress updates to management, highlighting early successes, challenges encountered, and strategies for further improvement.
About you
Basic Qualifications
You have completed relevant vocational training/apprenticeship or hold at least a Bachelor’s degree in Business Administration, a major in Supply Chain Management is a plus.

Preferred Skills and Experience
  • Experience: You bring experience in operational purchasing, procurement, or supply chain management, preferably in the manufacturing industry. You were already in the situation where you had to handle a variety of tasks and maintain an overview of a complex process landscape.
  • Skills: You possess strong analytical skills with an eye for detail, ensuring accuracy in all purchasing activities. You have excellent communication skills in both German and English, capable of liaising effectively with both internal teams and external parties. You thrive in a dynamic environment and are able to adapt quickly to new digital systems and processes.
  • Attitude: You have the will to learn and contribute to the success of the company by ensuring that procurement processes run smoothly, materials are delivered on time, and costs are managed effectively. You are proactive to learning, in identifying and solving issues with a can-do mindset.
  • Team Player: You work well in a collaborative environment, supporting your colleagues and contributing to team goals while also being capable of managing your tasks independently.

Noteworthy points
This role cannot be done fully remotely. We require someone who lives within commuting distance to Essen or is open to relocate which we are happy to support.
